For small hotels, Instagram is no longer a shop window. It's where the reservation begins. Someone sees your photo, likes it, and writes directly from the DM: "Are you open in October?"
Here's the problem: these messages don't come during the day, they come in the evening. While you're asleep, in the kitchen, dealing with another guest.
The solution is clear: automatic replies. But most hotel owners take a step back, because they ask the same question: "Will this get my account banned?"
This article answers exactly that question.
How do automatic replies to hotel Instagram DMs work?
A hotel Instagram DM automatic reply system is software that, when a guest sends a message to your business account, responds instantly with the hotel's own information. It works through Meta's official API, reads the guest's question, and produces an answer from your knowledge base. It only kicks in when a user writes to you; it never sends anyone a message on its own.
That last sentence matters. The key to safety is there.
Why Instagram? Because discovery starts there
When a guest searches for a hotel, they often look first not at Google but at Instagram. Photos, location tags, stories.
And when they see a place they like, they don't go to the website. Right there, inside the app, they write from the DM.
This is both an opportunity and a burden for you. An opportunity, because the guest closest to buying is here. A burden, because these messages never stop and most come outside working hours.
"Will my account get banned?" — this is the real question
This fear has a basis. But it's aimed at the wrong place.
Instagram really does penalize some automation tools. But not all of them. The difference is in how the tool connects to Instagram.
The difference between the official API and a browser bot
There are two kinds of automation.
Browser bots are software that clicks on your behalf inside the app, trying to behave like a human. Instagram flags these as suspicious activity. A warning the first time, a permanent ban most of the time the second — with no right of appeal.
Official API tools connect through Meta's approved Instagram Graph API. Instagram knows you're automating and allows it. Your messages look like normal DMs and carry no "sent by bot" marker.
The difference between them is the difference between safe and risky.
What Meta allows and what it doesn't
Meta's rule is clear: an automatic message can be sent as a reply to a user action (message, comment, story reply). You cannot send cold, bulk, unsolicited messages.
So sending someone an unprompted ad DM is prohibited. But replying to someone who wrote to you is fully compliant.
For a hotel this is already the natural flow. The guest asks, the system answers. You never write to anyone first.

Do I have to give my password?
No. And every hotel owner who asks this is right.
No trustworthy system asks for your Instagram password. The connection is established through Meta's official authorization screen. You approve specific permissions, full control of your account stays with you, and you can revoke the connection whenever you want.
If you come across a tool that asks for your password, it's already a browser bot — and that's exactly what puts your account at risk.
What should automatic replies answer, and what shouldn't they?
Automatic replies to every message aren't right. You need to draw the line correctly.
Can be answered automatically:
- Location, transport, distance
- Rules (pets, smoking, children policy)
- Amenities (parking, wifi, breakfast)
- Check-in / check-out hours
- The general introduction of the property
Should not be answered automatically:
- Reservation confirmation
- Price negotiation
- Complaints
- Special requests
Reservation is especially critical. No automatic system can know current availability for certain. The correct behavior is to direct the guest straight to you when the topic of a reservation comes up. The system opens the door, you make the decision.
So what if it gives wrong information?
This is the most serious risk of automatic replies and it should be discussed openly.
A poorly designed system can guess on a question it doesn't know. If it doesn't know whether the hotel has a room with a jacuzzi, it might write "yes it does". This is called hallucination. In hospitality the cost is concrete: the guest arrives, there is no room.
A well-designed system doesn't do this. When it faces a question it doesn't know, it doesn't guess — it forwards the question to you.
At ResLobby this mechanism is called Smart Handoff. When an unknown question comes in, a notification drops into your Telegram, you answer, the answer reaches the guest, and the system never asks that same question again.
This is the real question to ask when evaluating an automatic reply system: what does it do when it doesn't know?
How long does setup take?
No technical knowledge is required.
At ResLobby the business owner fills in a form, which takes about fifteen minutes. You connect your Instagram business account through Meta authorization. The team completes the setup, and the property usually goes live within thirty minutes to an hour.
Your Instagram business account needs to be linked to a Facebook page — this is a standard requirement of the Meta API and a one-time setting.
Is it right for you?
Look at these three questions:
- Do your Instagram DMs pile up during the day and mostly consist of the same questions?
- Do you reply with a delay to messages that come at night or during busy hours?
- Does answering these messages eat up your time?
If you say "yes" to two of them, a hotel Instagram DM automatic reply system will be useful to you. As long as you pick a system that works through the official API, doesn't ask for your password, and when it doesn't know asks you rather than making things up.
